The cheapest AI in your business

Every assessment starts the same way: before recommending anything new, I go through what you already subscribe to and find the AI capability sitting in it unused. That part usually costs nothing extra.

Microsoft Copilot

If you pay for Microsoft 365 Business, Copilot Chat is already included. What it will not do is read your files, your email or your meetings. That grounded version is a paid tier. Knowing which one you actually need is worth several hundred dollars a month across a team of ten.

Google Gemini

Google folded Gemini into Workspace Business plans in January 2025 and stopped selling it as an add-on. If you're on Business Standard or above, you have paid for Gemini in Gmail, Docs, Sheets and Meet every month since. The prompts are subtle enough that most teams never noticed.

Claude

The one nobody budgets for and two people are already paying for personally. Claude is usually the strongest option for long documents, policies and drafting, and it belongs on the company account with proper data settings rather than on someone's credit card.

Vendor bundling changes constantly, so entitlements get verified against your actual admin console during the assessment rather than assumed from a pricing page.

Paying twice for the same thing

A business buys ChatGPT Team seats while already paying for Gemini inside Workspace and Copilot inside Microsoft 365. Three AI subscriptions, one of them used, two of them invisible. That's the most common thing I find, and it's usually the first thing I fix.

Someone uses it. Nothing is written down.

One person has a habit. When they're on leave, the habit leaves too. A habit living in one head is not a process, so it can't be reviewed, improved or handed over, and none of the licences you're paying for get touched by anyone else.

The advice is hype or a rebuild

Vendors want to sell you a new platform. Consultants want a transformation program. Almost nobody makes money telling you to open the software you already own, which is exactly why so few people say it.

We walk through a normal week and I ask what software you pay for. Where does work get stuck, repeated, retyped, chased? How often, how long, who touches it, what breaks. I don't recommend anything on this call. I'm collecting evidence.

Licence audit and analysis

First pass is your existing stack: what AI is included in your Microsoft, Google, accounting and CRM subscriptions that nobody has opened. Second pass is whatever the gaps still need. Most enterprise software gets thrown out on the way, because it does not belong in a four-person business.

The report

Yours to keep, implement or ignore

Three to seven recommendations, each marked either "already included in what you pay for" or with its real added cost. Effort against impact, a named owner per item, a four-day quick-start plan, and the ROI arithmetic written out so you can argue with it.

We go through it together: what's most urgent, do you want to do this yourself or with help, and what timeline is realistic. The free items usually get done in the first week regardless of what you decide about the rest.

How I work

Three rules I don't break.

Use what's paid for first

No new subscription gets recommended until the AI inside your existing Microsoft, Google and Claude spend has been switched on and tested. If that solves it, the report says so and stops there.

Small and reversible beats big and bold

One workflow at a time, with a named owner and a date to review it. If a change doesn't hold after a month, you should be able to walk it back in an afternoon without cancelling anything.

The tool fits your team, not my toolbox

I take no vendor commissions and I'm not a reseller. That's what makes "you already own this, open it" a recommendation I can afford to make.

WHAT THE AI DOES

Transcribes the call. Finds patterns across everything you described. Checks current vendor documentation for what each of your existing plans actually includes this month. Drafts the first version of the report, which gets about sixty per cent of the way there.

WHAT I DO

Decide what fits a business your size. Sequence it so the free wins come first. Throw out the clever recommendations that won't survive contact with your team. Tell you when the answer is to change the process, cancel a subscription, and buy nothing.

When a customer asks ChatGPT, Gemini or Copilot for a recommendation, does your product come back? That's a data problem before it's a payments problem. I audit whether agents can actually read your catalog, fix the structured data and feeds they rely on, work out which of the competing standards are worth supporting for a business your size, and connect checkout last, usually through what Stripe or your storefront already gives you for free. The AI features were paid for and switched off

A university marketing team had licensed an enterprise campaign platform and was running a fraction of it. The AI-assisted capability bundled into the licence, the scoring, targeting and content selection tools, was sitting untouched while the team hand-built every campaign.

I built and delivered a training program on the workflows they actually needed, so the capability moved to their own staff rather than to an external agency on retainer. No new software was bought. The change was entirely in what they already owned and how they used it.

Compliance drafting, done in Copilot and Claude

Regulated work across financial services, government and NDIS providers all breaks the same way: progress notes, incident reports, file notes, evidence packs, and the same information rekeyed into three systems that don't talk to each other.

Almost none of that needs new software. A Claude Project loaded with the relevant standards will draft a compliant note from rough dictation. Copilot will summarise a meeting into the format an auditor expects. The work is choosing which of the two, writing the prompt once so it produces the same output every time, and setting the data controls so nothing sensitive leaves the tenancy.

I'm Alexandre. I run Tana Digital out of Melbourne and I do the calls, the analysis and the writing myself.

I've consulted across financial services, government, small business and the care sector. Different rooms, same conversation. A bank team and a two-person trades business are separated by about four orders of magnitude in budget and by almost nothing in where their week actually goes.

Regulated work taught me the most. In financial services, government and NDIS providers, everything has to be recorded twice and evidenced once more, so you can see precisely where the hours disappear. Small businesses lose time in exactly the same shapes, just without the audit trail to prove it.

What every one of them had in common: Microsoft or Google subscriptions with AI capability included that nobody had opened. That's why Tana Digital works across industries rather than one.

I take no vendor commissions. If the honest answer is that you should cancel a subscription rather than buy one, there's nothing stopping me saying it.

Questions people actually ask

Before you book.

Do I have to buy new software?
Usually very little. The first section of every report covers AI already included in what you subscribe to. Google folded Gemini into Workspace Business plans at no extra charge in January 2025. Microsoft includes Copilot Chat with Microsoft 365 Business plans. Between those two, most businesses are already paying for capability nobody has opened.
Is Copilot included in my Microsoft 365 plan or not?
Partly, and the distinction is where money gets wasted. Copilot Chat is included with Microsoft 365 Business plans at no extra cost, but it works from public web data and cannot see your files, email or meetings. The grounded version that reads your own content is a paid add-on or a with-Copilot plan. Whether you need the paid tier, and for which staff, is one of the questions the assessment answers.
We already pay for ChatGPT. Is that a waste?
Not necessarily, but it's worth checking against what you already have. If you're on Workspace Business you're paying for Gemini regardless. If you're on Microsoft 365 you have Copilot Chat regardless. Sometimes the right answer is to keep all three for different jobs. Often it's to consolidate and stop paying twice.
Is this just a sales call in disguise?
No. You pay a fixed fee and the report is yours. About half of clients implement it themselves, which is easier than usual here because most recommendations use licences already sitting in the business. I'd rather have a report circulating with my name on it than a client who felt cornered.
What happens to my data and the call recording?
The call is recorded only if you agree. The recording and transcript are used to write your report, stored in Australia, and deleted on request at any time. Nothing goes to a third party and nothing is used to train a model. Setting up your own tools so the same is true of them is often a recommendation in the report.
Nobody here is technical. Is that a problem?
It's the normal case and the report is written for it. Every recommendation names an owner, a rough setup time, and a cost, including the ones that cost nothing because you already pay for them. Anything needing real technical work is labelled clearly.
How does the refund actually work?
If, after the discovery call and analysis, I can't honestly point to at least five hours a week worth reclaiming, I tell you, refund the fee in full, and you keep the report. It's a real commitment, which is why the discovery call is a proper interview rather than a chat.
Do you work outside Melbourne?
Yes. Everything runs over video, so location doesn't matter and I work with businesses across Australia. If you're in Melbourne and would rather do the discovery call in person, that's an option.
My business is tiny. Is it worth it?
The sweet spot is 2 to 20 staff and roughly $500k to $5M in revenue. Below that, the honest answer is often that you should open the tools you already pay for and try them yourself, and I'll tell you that on the intro call rather than take your money.
